# Business process automation from Girona

crida studio helps define automations for businesses that need to organise repetitive work and connect their systems. We work from Caldes de Malavella with SMEs in Girona and across Spain. A project starts with the process and its owners before selecting tools, rules or a role for AI.

## Which tasks are worth reviewing?

Preparing sales enquiries, moving information into a CRM, collecting reporting data or following up a booking can provide a starting point. The scope depends on how information arrives and what the next person needs to do with it, rather than the number of applications that can be connected.

A manufacturing business may need to organise catalogue requests. A local business may want to retain the context of an enquiry. An organisation may need prepared information for review while keeping decisions under human control. These are possible needs to examine using examples, not outcomes we claim have already been delivered.

### Does every automation need AI?

No. Many tasks need clear rules and application connections. AI is considered where interpretation has a defined purpose and its output can be reviewed.

## What can the project include?

Work may include mapping the process, defining inputs and outputs, reviewing connections and testing representative data. Rules, exceptions and alerts are part of the design. It also needs to be clear who can see information, pause the workflow and approve a change.

n8n, Make, Zapier or a custom integration are considered against the existing system and its future owner. A tool is not a universal solution, and a successful connection does not prove that the complete business process works.

- A workflow map and test acceptance criteria.
- Connections and access needed for the agreed scope.
- Handling of repeated inputs, failures and human review.
- Operating documentation and responsibilities.

### Can you connect an existing ERP or CRM?

We first check access, permissions and the actions the system supports. An integration is scoped after those conditions have been verified.

## How do you develop a first automation?

We start by examining a task and agreeing what should change. Then we review system access and define a limited workflow. Tests cover both the expected path and situations that should stop it. Launch is agreed when the result can be checked against the original acceptance criterion.

Before handover, agree how to recover interrupted work and what happens if a field, password or application changes. Software subscriptions, hosting and maintenance are distinct from initial implementation. An operating process still needs an owner even when some of its work is automated.

### Who maintains the workflow?

That should be agreed in the proposal. Maintenance, subscriptions and incident management have their own responsibilities.

## Can the first version prepare work without sending it?

Yes. A first test can prepare a sales record and a draft for a person to review. This is an illustrative approach, not a client reference. If an input is unrecognised or information is missing, the workflow can leave a pending task rather than send an incomplete response.

That boundary lets the team assess usefulness before extending the workflow’s consequences. AI may help with a part requiring interpretation, while commercial approval, permissions and exceptions remain separate decisions.

## Work you can review

At Can Junqué, the website handles availability, bookings, payment and coordination with other channels. Everything runs through the property’s own channel.

## What determines the budget and ongoing costs?

The scope depends on the systems involved, the process rules and the exceptions it needs to handle. To prepare an estimate, we need an example input, the intended result and the person responsible for reviewing the workflow.

The proposal should distinguish analysis, implementation, testing, subscriptions, hosting, service usage and maintenance. This makes it possible to review the initial work and the costs that recur during operation.

## What do we need to assess the workflow?

Describe one task, who does it and which applications are involved. An example input, the intended output and situations that currently require corrections are useful. Use material without credentials or sensitive information for this initial discussion.

This helps establish what is worth testing and what needs further review. If a system cannot provide the necessary access or the rules are undecided, the proposal should recognise those limitations before estimating an implementation.

### Do you work outside Girona?

We work with businesses across Spain. Coordination, visits and test approval are agreed for each project.
