Why the funnel should follow the customer's project milestones

In bioprocess equipment sales, the customer moves forward when their project changes phase. A process development group looks for a benchtop bioreactor, a pilot plant needs to scale up and a tech transfer means repeating the process at another site. Each phase brings different questions and different people.

That is why an equipment manufacturer cannot copy the funnel of an online shop. The stages have to mirror what happens on the customer's side, such as a quote entering capex approval, QA asking for documentation or the project going on hold. If the CRM only separates leads from customers, sales cannot tell who is close to buying.

The stages, from the first visit to the URS and the quote

A useful funnel has few stages and each one is confirmed by a concrete event. When we set up the funnel for a maker of lab, pilot or GMP production equipment, we start from these six.

The URS is the clearest dividing line. Once a customer writes a user requirements specification, they usually have a funded project or are close to one. From there, marketing shifts to supporting the sales engineer with case studies, documentation and fast answers.

  • A visitor reading application content, such as an application note or a scale-up guide.
  • A known contact who downloads a datasheet, signs up for a webinar or leaves a card at a trade show.
  • A technical question or demo request, with the scale, the process and the project timeline.
  • A qualified opportunity, when the customer shares a URS or a list of requirements.
  • A quote sent and a technical review with engineering, QA and procurement.
  • The order, FAT, SAT and qualification at the customer's site.

How long is the sales cycle for bioprocess equipment?

It depends on the project phase and on who pays. An academic lab depends on grants and public procurement, a startup often waits for a funding round and a pharma company goes through capex approval. That is why it makes more sense to measure how long each stage takes in your own CRM than to look for an industry average.

Lead nurturing that follows the project, not the calendar

Nurturing works better when each message matches a project phase. Someone who downloads a lab to pilot scale-up guide gets more from a tech transfer case study than from a generic newsletter. Someone asking about IQ and OQ documentation wants to see what the validation package looks like.

Timing is the hard part. Months can pass between the first download and the order, because the customer is waiting for a funding round, a research grant or annual capex approval. In the meantime, keep in touch rarely and with useful content, and restart the follow-up when a new signal appears, such as a demo request.

How to track each stage across GA4, Google Ads and the CRM

Every funnel step that happens on the website should be a key event in Google Analytics 4. Google explains that any event can be marked as a key event, and that this shows which channels lead people to take that action. Datasheet downloads, demo requests and quote requests are the obvious candidates.

Long sales cycles create a problem. In Google Ads, the click-through conversion window is 30 days by default and can go up to 90. If the order lands a year later, Google Ads will never see it. So it makes sense to import intermediate stages from the CRM, such as the qualified opportunity, storing the click ID for each contact.

David Monje, founder of crida studio, led marketing at TECNIC Bioprocess Solutions for four and a half years. There he built B2B funnels with SEO, SEM and automation for a range of 0.5 to 2,000 L bioreactors, TFF systems and single-use consumables. In this kind of sale, a funnel only works when marketing and sales use the same stages in the CRM.

What CRM do we need for an equipment B2B funnel?

Any CRM that stores the lead source, the project stage, the scale, the process and the Google Ads click ID. If it also connects to the website form and your email tool, automation is straightforward. The brand matters less than the sales team actually updating it every week.

Which emails you can send under Spain's LSSI

In Spain, article 21.1 of the LSSI, the information society services law, bans promotional email that the recipient has not requested or expressly authorised beforehand. Article 21.2 makes an exception when there is a prior contractual relationship, the contact data was obtained lawfully and the email covers the company's own products or services similar to those the customer bought. The text refers to recipients in general, with no exception for business addresses.

The article adds that, in every case, recipients must be offered a simple, free way to object to the use of their data for promotional purposes, both when it is collected and in every message. In practice, the download form should have a clear checkbox for marketing emails. With trade show contacts, scanning a badge does not on its own record express consent, so it is safer to ask for it at the booth and log it.

Can we email the contacts we meet at trade shows?

Under article 21 of the LSSI, yes, if they have expressly agreed to receive marketing emails or if they are existing customers and you write about products similar to those they bought. Ask for consent at the booth and log it in the CRM with the date and the show. If they only asked for specific information, send them that information and nothing more.

What to automate and when the sales engineer steps in

Automation should handle repetitive work and alert sales at the right moment. Sending a requested datasheet, reminding someone about a webinar or routing a contact to the right territory are good jobs for a machine. Answering a question about pH control or scale-up should be left to someone who knows the process.

It works well to define two or three signals that create a CRM task, such as a demo request, repeated visits to the same product page or an attached URS. If the company sells through distributors, the automation should also pass the contact to the local distributor and log it, so the opportunity is not lost.
