What is the difference between the WhatsApp Business app and the API?
The WhatsApp Business app is free and built for small businesses. You get a business profile, a catalogue, a greeting message and an away message, and you answer every conversation yourself from the phone. You set it up yourself in an afternoon.
The WhatsApp Business Platform is the same channel opened up through an API so other software can connect to it. You get in through a solution provider or a developer, several people can reply, and automated answers are possible. In return, Meta charges for every delivered message and asks you to follow its messaging policy.
| Criterion | WhatsApp Business app | Platform or API |
|---|---|---|
| Who replies | One person from a phone. | Several people, an automated system or both. |
| What it costs | Free to download. | Each delivered message, by category and country. |
| Out of hours | A fixed away message. | Automated replies inside the 24-hour window, with a way to reach a person. |
| Bookings and CRM | No connection, you copy things by hand. | Connected through the API to bookings, CRM or website. |
| Messaging first | By hand, one at a time. | Only with approved templates and prior opt-in. |
| Getting started | An afternoon, no technical help. | A provider or developer, a Meta business account and a payment method. |
When is the WhatsApp Business app enough?
It is enough when one person can answer everything that comes in within a reasonable time. Think of a hair salon in Salt or a restaurant in Palamós that writes bookings down by hand. If most messages are «do you have a table?» or «what time do you close?», the app covers it.
The limit comes when the phone becomes a bottleneck. If nobody knows who answered whom or summer multiplies the messages on the Costa Brava, the app no longer keeps the work in order and bookings start to slip through.

Can I run a bot on the WhatsApp Business app without the API?
The app’s automated replies are fixed texts, such as the greeting and away messages. To answer based on what the customer asks or to check bookings you need the platform. Meta also offers its own AI agent, Meta Business Agent, with a category of its own on Meta’s rate card. If you try it, check how it hands the chat to a person and what it charges.
When do you need the WhatsApp Business Platform or API?
You need it when WhatsApp has to talk to other software or to more than one person at once. A clinic with three receptionists or a hotel confirming bookings from its property system cannot do that with a shared phone.
A hypothetical example, not a crida studio project. A small hotel in Begur gets availability questions at all hours. A system checks the bookings, replies with the free dates and, if the guest wants to book, alerts reception.
- Several people handle the same number, with assigned conversations.
- You want WhatsApp connected to your booking software, CRM or website.
- You need replies that go out on their own, also out of hours, or reminders sent with templates.

Let's talkHow is the WhatsApp API billed?
Meta has charged per delivered message since 1 July 2025, by message category and the customer’s country, and Spain has its own rate. Templates are marketing, utility or authentication. Free-form replies are service messages and can only be sent inside the 24-hour window that each customer message opens.
Since 1 October 2026, service messages are also charged once a number goes past a monthly free allowance, and utility messages sent as replies are no longer free. Meta says it only changes prices on the first day of a quarter. You will find no figures here. Check the official rate card and add the provider and the upkeep.
How much does a WhatsApp API message cost in Spain?
It depends on the category and the customer’s country, and Meta publishes the rate for Spain in its rate card. Since 1 July 2025 Meta charges per delivered message, and since 1 October 2026 service messages are also charged beyond a monthly allowance. This guide quotes no figures because Meta can change them every quarter. Check the official rate card.
Which rules does Meta set for automated assistants?
You may automate replies inside the 24-hour window, but you must offer clear ways to reach a person. The WhatsApp Business Messaging Policy, updated on 23 September 2026, lists an in-chat transfer to a human agent, a phone number, an email, web support, an in-store visit or a support form.
Since 15 January 2026, Meta’s terms treat «AI Providers» separately, such as general-purpose AI assistants. They may only offer those where the law requires Meta to allow it, and Spain has been on that list since 11 March 2026. Meta says this does not change what it charges other businesses. If your assistant only serves your own customers, the messaging policy is what applies to you.
What should you prepare before automating WhatsApp?
Before connecting anything, sort out what you answer by hand today. Note the questions that repeat, the ones that need a person and the hours they arrive. Decide what the system may answer on its own, what it should prepare for someone to review and when it must raise a flag.
Conversations contain personal data. In its guidance on agentic AI from February 2026, the Spanish data protection authority (AEPD) recommends assessing the compliance of the service you contract, including article 28 of the GDPR, and effective human supervision, with people able to validate or overrule what the agent decides.
- Answers to the frequent questions, written the way you would say them.
- The handover to a person and who receives it at each hour.
- The opt-in for sending notifications and how a customer unsubscribes.
- The data processing agreement with the provider and where conversations are stored.
Is it true that Meta has banned AI chatbots on WhatsApp since 2026?
Not for a business serving its own customers. Since 15 January 2026 Meta regulates general-purpose AI providers separately, and in Spain it allows them because the law requires it. What you must follow is the messaging policy, with automation inside the 24-hour window and clear ways to talk to a person.
Which mistakes should you avoid when moving to the API?
The most expensive one is losing your conversations. To use a number from the app with the API, Meta explains you must either delete the account or onboard through a provider that supports app numbers. Delete it and the history is gone. With a provider that supports it, you can use the app and the provider’s tool at the same time and keep the history. Back up first.
Also avoid an assistant with no way out to a person, messages sent without opt-in and an account without a payment method, because Meta stops delivering the service messages it charges for. And do not copy prices from providers’ blogs.
