What a bioprocess equipment distributor needs from you

A distributor selling bioreactors or TFF systems needs three things from the manufacturer. Current sales material, clarity on which accounts and territories are theirs, and fast answers when a customer asks for a quote. In return, you want to know what is happening in their market. Which companies are evaluating equipment, which quotes are open and why deals are lost.

The most common problem is outdated material. An old datasheet with a working volume or temperature range that is no longer correct reaches a pharma customer and ends up inside a URS. So the first question is how you make sure everyone uses the latest version. Which tool makes that easier comes second.

When a shared drive is enough

A shared folder in Google Drive, OneDrive or SharePoint works when you have a few distributors, each with a clear territory, and material mostly flows one way. Deals are passed on by email or phone and the area sales manager tracks them in the CRM. It is cheap, everyone knows how to use it and nobody needs training.

What goes wrong is structure and permissions. Microsoft notes that external sharing is turned on by default in SharePoint and OneDrive, and suggests turning it off until you know exactly how you want to use it. And when a distributor stops working with you, you need to remove their permissions or delete the links they had.

  • One folder per language and product family, with current datasheets and an archive subfolder.
  • The revision date in each datasheet's file name and in the PDF footer.
  • Permissions per distributor instead of one open link for everybody.
  • One person in the company who owns the content and announces changes.

Can the distributor portal live inside our website?

Yes. A private area on your website with a login works well for sales material, training and current datasheets. For deal registration and lead routing, though, it has to be connected to the CRM, or you use the CRM's own portal module. Otherwise you end up with two lists that never match. Keep the login area for material and training, and let the CRM own the deals.

When you need a portal with deal registration

A portal makes sense when distributors bring you deals and more than one of them can reach the same customer. It can happen, for example, with pharma groups or CDMOs running plants in several countries. Deal registration sorts it out. The distributor registers the opportunity with real details, you approve it and it stays protected for an agreed period.

A partner portal, or PRM software, also lets you route website enquiries by country and product, see which material each distributor actually uses and train partners before they sell a new piece of equipment. If you only need part of that, check first whether the CRM you already use includes a portal module.

Shared drive or portal, point by point

The table sums up the differences that matter most in a distribution channel for lab and bioprocess equipment. You do not have to do everything on day one. You can start with a well-organised drive and add deal registration and the CRM connection when the channel calls for it.

How do we stop two distributors fighting over the same customer?

With written rules before the portal goes live. Who registers first with real details, how long a deal stays protected, what happens when it expires and what your own sales team does when it sells direct. These rules belong in the distribution agreement. The portal enforces them and keeps a record of who registered what and when.

How to keep the portal and the CRM in sync

A portal that does not talk to the CRM is just one more list that never matches. The rule is that every deal lives in one place. If the distributor registers it in the portal, it is created in the CRM with the distributor as owner. If your team changes its status, the distributor sees it in the portal without anyone sending an email.

This is where we use automation. We connect the website form, the CRM and the portal with simple rules your sales team understands and can change. For example, a quote request from Germany for a 50-litre bioreactor goes to the distributor for that region, and if nobody responds within a few days, the channel manager gets an alert.

What happens to our material when a distributor leaves?

Remove their access the same day. In a shared drive that means removing permissions and deleting the links they had, and in a portal, deactivating the user. Anything already downloaded cannot be recovered. That is why each datasheet should carry its revision date and customers should know where to find the current version.

What the GDPR says when you pass contacts to distributors

When you pass a contact's details to a distributor, that person needs to know. Article 13 of the GDPR requires you to tell people, when you collect their data, about the recipients or categories of recipients. In practice, your website form should say that the request may be handled by the local distributor, and your privacy policy should explain it.

The company hosting your portal or drive processes data on your behalf. Article 28 says you may only use a processor that provides sufficient guarantees, and that the relationship must be set out in a contract or other legal act. Check this with whoever handles data protection in your company before opening access to the channel.
